Our engagements produce tangible artifacts: a populated Notion or Airtable content database, a 12-month editorial calendar, a documented brief-to-publish workflow in your chosen project management tool, a brand voice and style guide in PDF and Notion format, a GA4 and Search Console reporting dashboard, and a recorded team onboarding session library. The full setup typically runs over eight to twelve weeks depending on team size and existing tooling maturity. At handover, your team owns and operates the entire system independently — we do not insert ourselves into your publishing loop indefinitely.

Editorial Strategy Sprint

A four-week sprint delivering a full content audit, a competitive landscape report, audience persona documentation, and a 12-month editorial calendar. We interview up to four internal stakeholders, review six months of existing analytics, and produce a prioritised content type matrix with recommended publishing frequency per channel. Deliverable: one master strategy deck and one live editorial calendar file.

Pipeline Design & Tooling

We design your content lifecycle in full — from initial brief assignment through writing, editing, legal review, SEO optimisation, scheduling, and post-publish distribution. We then build the workflow inside Notion, Airtable, or ClickUp, including automated status notifications and a brief template library. Deliverable: a fully configured workspace with documented SOPs for every stage.

Team Onboarding Programme

Two live workshops (up to twelve participants each) covering the brief-to-publish workflow, the house style guide, and the analytics dashboard. Each session is recorded in HD and accompanied by a written role-guide for writers, editors, and commissioning managers. Deliverable: recorded workshop library, three role-specific quick-reference guides, and a completed style guide PDF.

Performance Analytics Setup

We configure GA4 event tracking, connect your Search Console property, build a Looker Studio dashboard with twelve standard content-performance KPIs, and document the monthly reporting process your team runs independently. Where a CRM connection is available, we map content touchpoints to pipeline stages so each article carries an attributed revenue signal. Deliverable: live dashboard, data dictionary, and monthly reporting SOP.

Technology-agnostic, process-first.

Sinclair & Vaughn does not resell software licences or favour any single vendor. We design your workflow around the tools your team already has access to, then recommend replacements only where a genuine capability gap exists. We have built production systems on Notion, Airtable, ClickUp, Asana, Monday.com, and Contentful — the consistent thread is always the process design, not the platform. If your team switches tools in eighteen months, the logic of the system migrates cleanly because it was documented in plain language from the start.

Common questions about our service

How long does a full factory setup take?

Most full-scope engagements — covering all four pillars — complete in eight to twelve weeks. Smaller teams with simpler tooling environments often come in at eight weeks. Larger organisations with multiple editorial sub-teams or complex approval chains typically run to twelve. We agree the timeline in the scoped proposal before any work begins.

Can we engage on a single pillar rather than the full programme?

Yes. Each pillar — Editorial Strategy, Pipeline Design, Team Onboarding, and Performance Analytics — is available as a standalone project. Many clients start with an Editorial Strategy Sprint, find the direction valuable, and commission the remaining pillars over subsequent quarters.

Do you work with teams outside Ireland?

Yes. Sinclair & Vaughn works with remote-first teams across the EU and with international companies that have an Irish or EU entity. All workshops are delivered remotely via video call. The only requirement is that working hours overlap with the Irish time zone (GMT/IST) for at least three hours per day.

What size of content team do you typically work with?

Our smallest engagements are with two-person marketing teams at early-stage startups. Our largest to date involved a cross-functional team of nineteen across three brands. The methodology scales because it is built on documented processes and shared tooling rather than on a specific headcount.

The pipeline design alone saved us roughly four hours per piece in back-and-forth approval emails. We have thirty-eight pieces live in our new Notion workspace right now, all tracked from brief to published, and our editor has not sent a single chasing email in six weeks.
